Job Purpose and Role
The Virtual Assistant Representative is responsible for providing remote administrative and front-desk support to medical practices. This role serves as a key point of contact for patients and healthcare providers by managing calls, scheduling appointments, verifying insurance coverage, maintaining accurate patient records, and supporting day-to-day practice operations.
Key Responsibilities
- Manage inbound and outbound patient calls in a professional and courteous manner.
- Schedule, confirm, reschedule, and cancel patient appointments as needed.
- Verify patient insurance eligibility, benefits, and coverage details.
- Process and follow up on prior authorization requests with insurance carriers.
- Enter and maintain accurate patient information within the Electronic Medical Records (EMR) system.
- Assist with patient collections, including discussing balances and processing payments when applicable.
- Respond to patient inquiries and provide timely support regarding appointments, billing, and general practice information.
- Maintain confidentiality and comply with HIPAA and other healthcare privacy regulations.
- Document patient interactions and update records accurately and promptly.
- Coordinate with healthcare providers and practice staff to ensure seamless patient care and workflow.
- Meet productivity, quality, and customer service standards established by the company and client practices.
- Perform administrative and other clerical tasks as instructed by Supervisor to support daily practice operations.
Qualifications
- Associate's or bachelor's degree in any related field
- Previous experience in a healthcare, medical office, customer service, call center, or virtual assistant role preferred.
- Experience working with Electronic Medical Records (EMR/EHR) systems is an advantage.
- Knowledge of medical terminology, insurance verification, and prior authorization processes is preferred.
- Strong verbal and written English and Spanish communication skills.
- Excellent customer service and patient interaction skills.
- Strong attention to detail and organizational abilities.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Proficiency with Microsoft Office, Google Workspace, and web-based applications.
- Ability to work independently in a remote environment while maintaining productivity and accountability.
- Reliable high-speed internet connection and a professional home office setup.
Location: Remote
Hours: Available during standard US business hours (9am-5pm EST or 8:30am-4:30pm EST)
