Job Purpose and Role

We are looking for a proactive and highly organized Project Manager to lead the onboarding and implementation journey for new clients. This role acts as the main point of contact between our internal teams and the client during the critical transition from sales to live operations. You will ensure all stakeholders are aligned, project milestones are met, and practices are set up for long-term success.

Job Duties and Responsibilities

  • Receive client endorsement from the Implementation Manager and review the newly created practice site, setup, and Vtiger account
  • Coordinate with the Clinical Manager to align on the clinical setup of the practice
  • Send an introductory email to the practice, including a kickoff meeting invite
  • Conduct a 10–15-minute alignment call to review goals, clarify expectations, and confirm kickoff attendees
  • Facilitate the kickoff meeting, conduct a practice analysis, and verify submitted onboarding form information
  • Identify the training primer schedule, define next steps, and align on practice expectations
  • Send a detailed recap email after the kickoff, including setup session schedule, user logins, and fax number
  • Lead 15-minute milestone and project check-in meetings to track progress, resolve issues, and keep the practice aligned
  • Attend training sessions facilitated by the Trainer to stay informed on client progress
  • Conduct a post-live Q&A session and monitor the practice for 3 weeks to ensure a successful transition
  • Endorse the practice to the Account Manager and inform the Implementation Manager once onboarding is complete


Qualifications

  • Proven experience in project management, client onboarding, or implementation roles
  • Exceptional verbal and written communication skills, with the ability to engage and build rapport with clients
  • Strong presentation and facilitation skills, with experience leading client meetings and discussions
  • Demonstrated ability to manage client expectations and communicate timelines, delays, and deliverables effectively
  • Comfortable handling client concerns with professionalism, empathy, and proactive solutions
  • Strong organizational and time management skills with the ability to manage multiple projects simultaneously
  • Familiarity with CRM systems (e.g., Vtiger) is a plus
  • Experience in healthcare, health-tech, or SaaS environments is a strong advantage
 

This is an Independent Contractor position.

Location: Remote - Full Time
Hours:  Available during standard US business hours (9am-5pm EST or 8:30am-4:30pm EST)
